FRONT OFFICE ADMIN. COORDINATOR

MON–FRI; 8:00AM- 5:00PM

As a Front Office Administrative Coordinator, you'll play a vital role in our team, managing various reception and administrative responsibilities at the corporate, division, or departmental level. You'll welcome visitors, verify their identification, and help them connect with the right person. Your role will involve announcing and directing visitors to the appropriate offices, registering guests, and ensuring a smooth visitor experience. You'll handle incoming calls, directing them to the right parties and providing general information as needed. Additionally, you'll perform essential administrative tasks such as typing, data entry, event and meeting planning, and schedule coordination. Managing the company's incoming and outgoing mail will also be part of your responsibilities. This position offers an opportunity to engage in meaningful work, develop your skills, and be part of a supportive and collaborative team.


Hours: Mon – Fri 8:00am – 5:00pm

Responsibilities

1. Greet and assist customers and candidates, in person or on the telephone, and answer or refer their inquiries. Answer multiple phone lines, identifying caller needs and transferring calls to the appropriate contact. Maintain employee and department directories. 

2. Process all incoming and outgoing daily company U.S. mail. Maintain postage meter and call for service when necessary. Process Certified Mail as requested.

3. Maintain conference room(s) scheduling. Assist departments when required, especially pertaining to data entry, contact management, or other administrative needs.

4. File and organize Inside Sales daily sales orders, rotate old files out when space allotment deems it necessary. Assist Inside Sales with order entry.

5. Clean & organize the kitchens, load and unload dishwashers on a daily basis, and stock refrigerators. Organize and maintain safe and clean front desk and main copier areas by complying with procedures, rules, and regulations. Prepare and/or clean up main conference rooms before or after meetings. Monitor coffee and supplies, and contact coffee vendor for service, as needed. Order office supplies and maintain proper inventory.


Qualifications:

1. Intermediate to advanced typing, computer, printer, and copier skills.

2. Strong listening, written, and oral communication skills

3. Positive, outgoing personality with strong customer focus

4. Ability to decipher caller and visitor needs

5. Ability to multi-task while staying organized


Compensation: $23.25-$30.43 per hour
